What to include
Send whatever you have. Missing items are collected on the property walk, so an incomplete packet never delays the bid.
- The scope of work or the current contract (a PDF or a paste is fine)
- Property address, number of doors or acres, and a site plan if the board has one
- Mowing frequency by season, and whether bed detail, irrigation checks and palm pruning are in or out
- Bid due date, board meeting date, and the target start date
- Any vendor requirements: insurance limits, licensing, background checks, uniforms, reporting format
- Who receives the bid and whether a site walk is required or optional

Property walk within the week
We measure turf, beds, hedge footage, palm counts and irrigation zones ourselves so the price rests on the property, not the incumbent's numbers.
Line-for-line pricing
Every scope item gets its own line and frequency, so the board can compare three bids on one sheet. Extras are itemized, never buried in a monthly total.
Scope-gap review
We flag what the scope leaves out (storm response, irrigation repairs, mulch cycles, palm pruning heights) before it becomes a change order.

Certificate of insurance, W-9, license copies and references delivered with the bid. A documented 30-day transition plan if the community is switching vendors.
