Every community loses hedge sections and palms to storms, pests and dry spots, and the replacement usually waits a month for three quotes. With a standing per-plant price sheet on file, your manager texts a photo, we confirm availability from the nursery's live list, and the material is planted within days. The invoice shows one supplied-and-installed price per plant, so there is nothing to reconcile and no sales tax line, because planted material is an improvement to real property under Florida rules.

Plant material is the one line item where communities pay twice: once for the plant, and again a year later when the wrong size in the wrong spot dies. BCQ sources through Florida Palm & Plant Co, our own nursery brand, which buys from the same Southwest Florida growers the big install contractors use and holds a live availability list. That means the plant we quote is the plant that is actually on the ground in Naples or Pine Island this week, in the size we say, at Florida Grade #1 or better.
The scope is simple by design. A manager or board member sends a plant list or a photo of the gap. We match it to the live list, price it per plant delivered and planted, and text or email the line-item quote the same day. Approved orders are placed with the grower on the deposit, scheduled on a delivery day, and planted by the BCQ crew: correct depth, backfill, water in, mulch dressed, debris hauled. For hedges we set the spacing to the size (3 gallon at roughly 2 feet, 7 gallon at 3 feet, 15 gallon at 4 feet) so the run fills in as one line instead of a row of individuals.
Timing matters in Southwest Florida. Hedges, shrubs and canopy trees establish best planted October through March, when the heat backs off and irrigation can keep up. Palms are the exception: they root fastest planted in spring and early summer as the soil warms. We steer replacement work into those windows where the calendar allows, and we always confirm irrigation coverage on the line before planting, because a new 7 gallon hedge on a dead zone is a warranty claim waiting to happen.
For associations, the practical win is the standing price sheet. Once the board approves per-plant unit pricing by size, the manager can order replacements under the spending threshold without a new bid cycle, and larger renovations still get a written proposal. Either way the invoice is one supplied-and-installed price per plant, which keeps the association's books clean and avoids the itemized material-plus-labor structure that turns plant material into a taxable retail sale.

Straightforward pricing.
Plant material is priced per plant, supplied and installed, by species and container size, so a 7 gallon clusia costs the same whether you order 8 or 80. Volume breaks apply at 10, 25 and 50 plants of one kind. Specimen palms and field-grown trees are priced per tree by height, with any crane or loader time shown on the quote before you approve it.

Planted material carries no sales tax line under Florida Rule 12A-1.051 (improvement to real property). Delivery-only orders are taxable retail sales at the destination county rate. Pricing is confirmed against the nursery's live availability list at the time of quote.

How fast can replacement hedges or palms be planted?
Once the order is approved, material is confirmed against the nursery's live availability list and typically planted within the week. Small replacements do not wait for a board meeting when a per-plant price sheet is already on file.
What does the per-plant price include?
The plant, delivery, planting at the correct depth, backfill, watering in, mulch dressing and debris haul-off, as one supplied-and-installed price per plant. Planted material carries a 30-day warranty when the irrigation on that line is working.
Can our manager order without a new bid cycle?
Yes. Once the board approves per-plant unit pricing by size, the manager can order replacements under the association's spending threshold from the standing price sheet. Larger renovations still get a written proposal.
Why is there no sales tax line on planted material?
Under Florida rules, plant material installed by the contractor is an improvement to real property, so the invoice shows one planted price per plant with no separate tax line. Delivery-only orders that your own crew plants are taxable retail sales.
